Description
Job Summary:To support the mission of the KPNW DME department by providing administrative services to the team, including, but not limited to managing incoming and outgoing calls, faxes and emails as well as management of the departments internal documentation platform, in compliance with Kaiser Permanente, state and federal guidelines. This position works under the supervision of the DME manager.
Essential Responsibilities:
- Ensure customer satisfaction by providing fast, reliable, courteous, auditable, appropriate service to our customers (internal and external) and members for all DME needs.
- Providing fax, phone, voicemail and email processing support for all DME requests as needed, ensuring all state and federal regulations and timeliness is met.
- Support DME Department Manager, Lead, Operations Consultant and DME staff through the maintenance of the departments internal website platform (currently Sharepoint) as well as clerical support.
- Recognize, document, and alert the management team of trends or anomalies in customer communication.
- Strong verbal communication skills in a high call volume call center environment.
- Route and escalate calls to appropriate resources and/or management.
- Perform other duties as assigned by supervisory personnel and DME staff that are consistent with the individuals training and experience.
Experience
- Minimum three (3) years of experience as an Administrative Assistant or Professional secretary, including two (2) years of providing varied, complex, progressively more responsible administrative support.
Education
- High School Diploma or General Education Development (GED) required.
License, Certification, Registration

Additional Requirements:
- Comprehensive knowledge of Microsoft Office Products
- Expert at using Internet search to quickly find, access and retrieve information.
- Expertly operate office equipment including copiers, fax machines, printers, sophisticated phone systems, computers, and software.
- Thorough knowledge of the administrative support profession.
- Independent project management and organizational skills.
- Demonstrated ability to tolerate and cope with ambiguous situations.
- Demonstrated effective communication skills, both written and oral.
- Effective interpersonal skills/demonstrates customer-focused service skills.
- Commitment to task.
Preferred Qualifications:
- Minimum three (3) years of experience as an Administrative Assistant or Professional secretary, including three (3) years of providing varied, complex, progressively more responsible administrative support.
- Minimum two (2) years of experience with online systems.
- Basic knowledge of DME benefits, coverage, regulations, etc.
- Working knowledge of Kaiser Permanente systems on processes.
- Knowledge of HMO environment.
- Working knowledge of health plan benefits and policies
- Proficiency with Microsoft Office Products and SharePoint design and maintenance.
- Excellent project management skills.
