Description
Job Summary:Responsible for producing schedules for Specialties, OB/GYN, Primary Care, Class Schedules, Hospital Rounding and On-Call Schedules for greater than 150 practitioners. Will also serve as department liaison to the Manager of Specialties and the Department Administrator in the areas of Access Reporting and Practitioner Template Management. Will also provide support to the integrated scheduling software project.
Essential Responsibilities:
- Ensure that physician and associate practitioners schedules are coordinated according to established guidelines in a timely and accurate manner meeting both the patients and practitioners needs to include On-Call and Rounding schedules for greater than 150 practitioners.
- Ensure that the data is entered in the ATSTAFF appointment scheduling system accurately and appropriately.
- Ensure that all practitioners schedule changes and sick calls are completed according to the Cancellation of Member Appointments by Kaiser Permanente Georgia Less than 24 hours policy and procedure and established Team guidelines.
- Coordinate all departmental master schedule changes.
- Provide a high level of customer service in managing scheduling changes and communication with members, practitioners, Primary Care and Specialty Teams, Specialty Managers and Department Managers.
- Provides support to Specialty Managers and Department Administrators in the area of Access Reporting and Template Management.
- Manages Practitioners waitlist - OB/GYN and Pediatrics only.
- Acts as liaison between TSPMG, ATSTAFF, Specialty Managers and Department Administrators.
- Present new ideas to practitioners and managers across the region to improve service and quality.
- Partners with the Lead MD and Clinical Supervisor for template management to enhance availability and access to the team/department.
Experience
- Minimum three (3) years of relevant experience (e.g. scheduling, medical front office, telephone operations and customer service).
- Minimum one (1) year of experience involving telephone operations, appointment booking and or customer service.
Education
- High School Diploma or General Education Development (GED) required.
License, Certification, Registration
- N/A
Additional Requirements:
- Demonstrate skills utilizing Scheduling Software appointment systems.
- Ability to develop reports and programs to improve customer service and performance goals.
- Ability to participate in training, employee development and quality assurance programs.
- Complete a Customer Service Assessment.
- Experience in staffing/schedule building procedures.
Preferred Qualifications:
- Knowledge and experience with KP Cadence Hyperspace and ATSTAFF Scheduling Functionality preferred.
- Customer service aptitude demonstrated through Customer Service Assessment.
