Position Summary:
The Patient Access Representative I supports departmental operations by ensuring an efficient and welcoming patient experience at Baylor Scott and White Sunnyvale. This role is responsible for delivering exceptional customer service while performing essential front-end functions such as greeting patients and visitors, managing incoming and outgoing calls, performing PBX operations, and completing accurate patient registration. The representative ensures all required legal and compliance documentation is properly explained, completed, and secured in accordance with organizational and regulatory standards.
Responsibilities
- Greet patients, visitors, and customers promptly and professionally, following the customer service standards of Baylor Scott and White Sunnyvale.
- Provide compassionate, world-class customer service in all interactions.
- Answer and manage inbound and outbound calls efficiently and courteously.
- Operate the PBX phone system and direct calls appropriately.
- Perform reception duties and complete quick registration and demographic data entry with a high level of accuracy.
- Obtain, review, and verify patient demographic and insurance information.
- Clearly explain and obtain required patient and hospital legal documentation, including Advance Directives, Conditions of Service, Consent for Treatment, Important Message from Medicare, and EMTALA forms.
- Maintain confidentiality and ensure compliance with HIPAA and all policies and procedures established by Baylor Scott and White Sunnyvale.
- Assist patients and visitors with questions and provide general facility information.
- Contribute to maintaining efficient departmental workflow and supporting the mission and values of Baylor Scott and White Sunnyvale.
Education:
- Required: High school diploma or equivalent.
- Preferred: Some college coursework.
Experience:
- Preferred: Previous experience in a customer service or administrative role, preferably within a healthcare setting, medical office, hospital, or insurance environment.
Certifications:
- None required.
Physical Demands:
- Ability to sit or stand for extended periods.
- Frequent use of computers, telephones, and other office equipment.
- Ability to communicate clearly in person and over the phone.
- May require occasional walking, bending, and light lifting (up to 15 pounds).
