Job SummaryThis position is responsible for Administrative Assistant duties, including: lobbyist and consultant billing, payments, and compliance support in reporting; trade association contributions and membership tracking; political contribution administration, and processing; development of project management dashboards; support of federal and state grassroots tracking, and other specified projects. Support the department in budget preparation, presentation preparation, and other special projects. The position oversees management of a policy library, including advocacy materials.
Responsibilities
- Manage Tenet political giving processes and data, including processing political contributions (utilizing the 360 platform, processing check requests, maintaining a ledger, and filing materials. Conduct annual Tenet-PAC and FedPAC solicitation campaign, including updating and producing solicitation materials. Creating and publishing Tenet's bi-annual public political disclosure documents. Tracking Tenet-PAC and FedPAC appeal participation and receipts, guiding Government Relations and corporate leaders with annual outreach to meet goals. Other administrative support of Tenet-PAC and corporate political contributions. Work with external consultants and legal counsel to ensure compliance with statutory and regulatory reporting and other requirements.
- Support Compliance vendor in filing periodic filings and ensure compliance with lobbying disclosure and PAC reporting requirements at state and federal levels (with support of external consultants and Law Department). Preparation and filing of political and lobbying activity disclosure reports (in concert with external consultant).
- Annual review and renewal of all lobbyist and consultant contracts, including work with Tenet Law Department. Process payments to lobbyists. Tracking trade association memberships and a portion of the trade association payments. Upload lobbyist and consultant contracts into eCATS.
- Support and advance Tenet's federal and state government relations and advocacy agenda, including tracking and managing federal and some state grassroots activities. Monitor and track Tenet's grassroots advocacy metrics and contacts made with elected officials. Create PowerPoint or other presentations for internal and external use. Grassroots advocacy coordination in CEO and hospital A-team appeals. Support in tracking relationship management with key government and trade association stakeholders.
- Support annual budget process and regular budget developments to monitor spending and alignment with annual and monthly budget expectations.
Maintain and further develop a policy library. Maintain and update the Government Relations eTenet web page. Participate in weekly staff meetings and regular department reporting processes, including compiling legislative session and year-end reports from trade associations and lobbyists.
Qualifications
- At least 5 years of administrative/executive assistant experience.
- High level of competence with business software, including Microsoft Word, Excel, PowerPoint and Outlook.
- Strong verbal and written communication skills.
- Excellent organizational and planning ability.
- Ability to maintain confidentiality and handle multiple tasks.
